Data Verification

If you wish to confirm or re-confirm your members’ data on your website (e.g., their contact information, volunteer preferences, etc.) you can do so with the data verification email. The email will show members their current data on-site and allow them to confirm or change/update it. You can view the status of each verification request inside Congregate Admin.

Creating a New Data Verification Request

    1. To create a request email, click “New Data Verification Request” on the “Manage” page under Church Membership > Data Verification in Congregate Admin.
    2. Select the type(s) of data you wish for members to verify: contact information, volunteer opportunities, job assignments, member interests. If you do not use the volunteer, job, or interests feature modules, do not check those items.
    3. Select the recipients in the “Recipients” field: all unverified members or selected member(s).
      Tip
      You can send as many email requests/reminders as you wish and Congregate will only send them to members who still show as unverified; verified members will not get duplicate email requests unless you specifically select them as recipients.
    4. If you wish only one email to be sent per family (to the head of household), check the “Only Email Family Heads” and an entire family’s data will be included in a single email.
    5. Enter the subject of your email in the “Subject” field.
    6. Enter the content of your email in the “Template” field. Be sure to use the tags in your template; they will be replaced by the actual content they represent. For example, the “[[Name]]” tag will be replaced with name of the receiver and “[[VerifyLink]]” will be replaced with a link to verify his or her information.
    7. Enter or select an email address in the “Reply-To Address” field so the recipient can reply to your email with any questions or concerns.
    8. Click “Send Verification Requests” when you’re ready to send your emails. Click “Cancel” to cancel.

Managing Data Verification Statuses

To view the status of your data verification, click “Manage” under Church Membership > Data Verification inside of Congregate Admin. There you will find a list of all your members. You can easily view members’ verification status and when the last verification request was emailed to them.

Statuses
A member will be listed as “unverified” until he or she clicks the verification link in the email or an administrator manually clicks the “Verify” button next to his or her name.

To reset and clear all statuses, click “Reset/Clear All Verifications.” This will set all members to the unverified state.

To manually verify a member (if he or she did not click the verification link in the email or if the member needs to be verified off-online), click the “Verify” button next to his or her name.

Print and Export Unverified Members List

This option is perfect for members who do not have computer access or a member account and their information still needs to be verified. You can print and export all the current unverified members so you can verify their information in-person and then make any corrections or changes via Congregate Admin.

    1. Select the type(s) of unverified data you wish to display and export: contact information, volunteer opportunities, job assignments, member interests. If you do not use the volunteer, job, or interests feature modules, do not check those items.
    2. Click “Export” to generate a PDF file suitable for distribution and/or printing.
