Calendar

Congregate includes three calendars: public, member, and leadership. Calendar events can be seen on your website, viewed remotely through iCAL feeds, and member events can be included in Congregate’s weekly recap email. Events can be posted in one or more calendars at the same time and can be single or recurring. Events shown on your website are displayed inside of color-coded categories to make finding events on your website’s calendar easier for visitors.

Creating An Event

    1. To create an event, click “New” under News and Events > Calendar inside of Congregate Admin.
    2. Select the start and end dates for the event, or select “Forever” if the event is non-stop.
    3. Select the start and end times for the event, or select “All Day” if the event does not have start and end times.
    4. Select the type of event: one time, weekly, monthly, all month, yearly, or quarterly. 
            • A one time event happens once and does not repeat.
            • A weekly event can recur on one or more days of the week.
            • A monthly event repeats on one or more days of the week on a given week of the month (e.g., second week of each month or last week of each month).
            • An all month event lasts the entirety of the month in which the event takes place.
            • A yearly event repeats each year on the given date.
            • A quarterly event repeats each year on the given quarter (quarterly dates are configured in the options page).
    1. If the event is recurring, but there will be one or more set of dates the event will not take place, click “Add New Date Range” in the “Non-Occurring Dates” field to create blockout dates for the event. The event will not show on your calendar during any blockout dates. 
    2. Enter a description of the event in the “Description” field.
    3. If the event has a website link/URL associated with it, enter it in the “Link” field.
    4. Select the primary calendar the event should be added to: public, members, or leadership.
    5. Select any additional calendar(s) to also add the event to: public, members, and/or leadership.
    6. Select category(s) the event belongs to, or click “Add New” to immediately create a new category.
    7. Click “Add” to save and post your event. Click “Cancel” to cancel your event.

Managing Events

To manage calendar events, click “Events” under News and Events > Calendar inside of Congregate Admin. There you will find a list of all your events. 

To edit an event, simply click its title or edit icon.

To permanently remove an event, click its trashcan icon.

To copy an event, click its “Duplicate” button.

To bulk update events, check the checkboxes next to the applicable events and select the following from the “Checkbox Options” dropdown menu: delete. Then click “Apply.”

Displaying/Viewing Calendars

Public Calendar

The public calendar can be displayed on any public page of your website and can be viewed remotely through your iCAL feed.

Displaying the Public Calendar on Your Website

To display the public calendar on your website, select the page you wish to display your calendar on via the “Public Calendar Page” selection dropdown on the “Options” page under News and Events > Calendar in Congregate Admin.

If you do not wish to show your public calendar, simply select “None.”

Viewing the Public Calendar Remotely via iCAL

Your visitors can subscribe to your public calendar and view it remotely using a calendar application that supports iCAL feeds. If you have a public calendar page active, your iCAL feed is activated automatically. Visitors can click the iCAL icon/link on your public calendar page to subscribe to your public calendar’s events. You can view the “iCAL Feeds” page under News and Events > Calendar in Congregate Admin to view the URL of your feed(s).

What is iCAL?
iCal is a standard calendar feed format that allows you to share event data from a calendar system. iCal feeds populate event data from the source calendar to target calendars like your Google Calendar, Apple’s iCloud Calendar, or your Microsoft Outlook calendar. If an iCAL-supported calendar application is not installed or configured on a viewer’s device, your iCAL link may appear as code in their browser, their browser may display an error message, or it may download an “.ical” file. This is normal behavior and does not represent an error in your feed.

Member Calendar

The member calendar can be displayed on any member page of your website and can be viewed remotely through your iCAL feed. You can configure your member calendar to automatically display member birthdays and anniversaries, pulled directly from your Congregate member directory.

Displaying the Member Calendar on Your Website

To display the member calendar on your website, select the page you wish to display your calendar on via the “Member Calendar Page” selection dropdown on the “Options” page under News and Events > Calendar in Congregate Admin.

If you do not wish to show your member calendar, simply select “None.”

Viewing the Member Calendar Remotely via iCAL

Your members can subscribe to your member calendar and view it remotely using a calendar application that supports iCAL feeds. If you have a member calendar page active, your iCAL feed is activated automatically. The member calendar iCAL feed is encoded as to not allow the public to access it. Members (who are logged into their account) must click the iCAL icon/link on the member calendar page on your website to find their personalized feed URL. There is not a generic member calendar feed URL.

Leadership Calendar

The member calendar can be displayed on any member page of your website and can be viewed remotely through your iCAL feed. You can configure which members/leaders are allowed to view the leadership calendar in their user account’s permissions.

Displaying the Leadership Calendar on Your Website

To display the leadership calendar on your website, select the page you wish to display your calendar on via the “Leadership Calendar Page” selection dropdown on the “Options” page under News and Events > Calendar in Congregate Admin.

If you do not wish to show your leadership calendar, simply select “None.”

Your leadership can subscribe to your leadership calendar and view it remotely using a calendar application that supports iCAL feeds. If you have a leadership calendar page active, your iCAL feed is activated automatically. The leadership calendar iCAL feed is encoded as to not allow the public to access it. Members/leaders (who are logged into their account) must click the iCAL icon/link on the leadership calendar page on your website to find their personalized feed URL. There is not a generic member calendar feed URL.

Event Categories

Categories allow your events of similar content to be grouped together. An event can be assigned to multiple categories. To have Congregate auto populate member birthdays and/or anniversaries, ensure you have categories created for both birthdays and anniversaries.

To add, edit, or remove event categories, click “Categories” under News and Events > Calendar inside of Congregate Admin. There you will find a list of all your current categories. 

Click “New” to add a new category. Enter the name of the category and select a color (which will appear on your website calendar to designate an event’s category) and click “Add.” 

To edit a category, simply click its title or edit icon.

To permanently remove a category, click its trashcan icon.

To bulk update categories, check the checkboxes next to the applicable events and select the following from the “Checkbox Options” dropdown menu: delete. Then click “Apply.”

Event Calendars

Congregate includes support for three types of calendars: public, member, and leadership. While you can have multiple calendars on your site, only one default calendar can be set for all three calendar types (public, member, and leadership).

To add, edit, or remove a calendar, click “Calendars” under News and Events > Calendar inside of Congregate Admin. There you will find a list of all your current calendars. 

Click “New” to add a new calendar. Enter the name of the calendar and any applicable text you wish to appear on any PDF export of your calendar in the header and footer. Then click “Add.”

To edit a calendar, simply click its title or edit icon.

To permanently remove a calendar, click its trashcan icon.

To bulk update calendars, check the checkboxes next to the applicable calendars and select the following from the “Checkbox Options” dropdown menu: delete. Then click “Apply.”

Calendar Options

Selecting Display Pages

Use the dropdown menus to select the pages on which you wish to display your public, member, and/or leadership calendar(s). If you do not wish to use one or more of the calendar pages, select “None” from the dropdown menu to disable them.

Displaying Member Birthdays and/or Anniversaries

Select the calendar categories you wish for member birthdays and/or anniversaries to automatically populate from the member directory.

Select “Show in member calendar” if you wish to display them on your website or “Do not show in member calendar” if you wish to disable this feature. 

PDF Layout and Font Size

Select the orientation for calendar PDF exports (landscape or portrait). Use the “Font Size Adjustment” field to increase or decrease the font size used on your PDF export.

Designating Quarters

If you wish to use quarterly events on your calendar, select the start date for each of your four quarters. Each church may divide the year into quarters based on several factors, so Congregate allows you to select the exact date each quarter begins.

Designating Public, Member, and Leadership Calendars

Use the dropdown menus to select the calendars you wish to use as your public, member, and/or leadership calendars. If you do not wish to use one of more of the calendars, select “None” from the dropdown menu to disable them.
