Volunteer Lists and Assignments

Every volunteer role, with the same automation as worship assignments.

Worship assignments are only part of what a congregation needs filled. Greeters, meal coordination, building cleanup, transportation, sound and slides, benevolence visits. These are the roles that quietly land on the same four people because asking is exhausting.

Volunteer positions work like job assignments. You define each position with a description, the days and times it applies to, whether it runs all day or for a set window, and any constraints it carries. Positions can be scheduled on the calendar so they appear alongside everything else, or tracked as a list to reference without a calendar entry when that fits better.

Members record which volunteer positions they are willing to fill, and Congregate assigns from that pool. Nobody is assigned to something they never agreed to, which is the difference between a system that works for one quarter and one that works for years.

Congregate can assign a whole period at once, drawing on willingness and rotation so the same people are not carrying everything. When a schedule has holes, the fill empty slots function works through what remains rather than making you hunt for the gaps by eye. Every automated assignment can be changed by hand.

Members receive automated reminders by email, text, or voice ahead of their assignments, with customizable templates and a lead time you choose. That single feature removes most of the follow-up work, because the majority of missed volunteer slots are not refusals, they are people who forgot.

The finished schedule exports to a print-ready PDF or CSV. A printed volunteer roster on the board and the same roster on everyone’s phone is the combination that actually gets used.
